How to Create a New User in OFS PRO

The Users item can be found in the Administration module of the Configuration tab.

To create a new user:

1. Open the “New User” window by pressing Ctrl+N, or right-clicking within the grid and selecting New from the menu. All yellow fields in the window are required information, while white fields are optional.
2. Enter the user’s username, first and last name, and e-mail address. The username is traditionally the first initial of their first name, plus their last name, and may include your company’s domain network prefix.
3. Check the box “Remote Access Allowed” to grant the user access to OFS Field. A remote password must be between six (6) to twelve (12) characters long, with at least one uppercase letter, one lowercase letter, and one number.
4. Check the box “Is Web User” to grant the user access to OFS Pro. A web password must be between six (6) to twelve (12) characters long, with at least one uppercase letter, one lowercase letter, and one number.
5. Setting an expiration date will set the user as “Inactive” after the specified date. An Inactive user is unable to access the application.
6. Click the OK button to close the window and save the new user.

A new user must be assigned a group with privileges to be able to access any modules within the application.

To assign a user to a group:

1. Locate the existing user in the user grid.
2. Navigate to the “User Groups” tab below the main grid.
3. Right-click within the grid and select New from the menu.
4. Select the desired Group Name from the drop-down list.
5. Select the “Valid From” date to specify when the user will begin as a member of the group. Selecting a “Valid To” (expiration) date is optional.

A user group is a collection of permissions regarding which screens of the application can be viewed and what database entries can be edited. A complete table of all pre-defined user groups and their abilities in the system can be found in the Appendix.
